Practice Management
How practice management works in Nem
Patients, scheduling, treatments, invoicing, reports, staff, permissions and data import.

Nem's practice management system is the day-to-day clinic system: patients, scheduling, treatments, invoicing, reporting, staff and permissions, equipment, and getting your data in and out.
One thing to be clear about first. Nem is staff-facing. There is no patient portal, and no patient can sign in. There is no patient self-scheduling, no online bill payment, no patient document upload and no patient messaging. What exists is a patient detail page your staff use, which brings a patient's whole history together in one place. That is a useful thing, and it is a different thing.
Patients
Each patient record holds structured demographics, contact details, insurance information, and a cross-clinic sharing flag for organizations that need one clinic's records kept apart from another's.
The patient page has nine tabs: Overview, Timeline, Appointments, Treatments, Care Plans, Billing, Notes, Documents and Audit. Notes are free text rather than structured clinical notes. Deleting a patient is a soft delete with an undo, so nothing is lost to a misclick.
Insurance today is captured as free-text fields. Structured payer records exist underneath but nothing reads them yet, and that is the prerequisite for eligibility checking later.
Scheduling
The calendar shows every provider across the week, colour coded, with your clinic's opening hours shaded in. There is also a table view with filters for anyone who would rather work from a list.
An appointment moves through a seven-state lifecycle including checked in, in progress and no show. Availability comes from weekly recurring shifts per provider, one-off overrides for a day somebody is away, and your clinic's operating hours.
Two limits worth knowing before a demo:
- There is no day view or month view, and no drag and drop rescheduling. Rescheduling from the staff calendar is currently disabled, though the voice agent can reschedule.
- Appointment reminders notify your staff. They do not go to patients, by email or by text.
When the voice agent books somebody it could not match to an existing record, that booking lands in a pending queue for your front desk to resolve, and callback messages the agent takes land in a message inbox.
Treatments and procedures
You keep your own procedure catalogue, organized into categories, with prices and durations. That catalogue is what the voice agent quotes from. Treatments are logged against a patient and the log is paginated, sortable and filterable.
Procedure codes are currently stored as a single free-text field with no code system and no validation. Creating an invoice line directly from a logged treatment is not wired up yet.
Invoicing
You can create an invoice with line items, view and print it, record a payment safely against concurrent edits, and void an invoice. A/R aging is built in. Invoice lists page and total on the database rather than in the browser, so they stay fast as the list grows.
Be aware of the edges:
- An invoice cannot be edited. Void and reissue is the only path.
- There is no payment ledger, so there is no payment history showing who took which payment when.
- The invoice PDF is a browser print, so the exact output depends on the browser.
- A patient cannot pay a Nem invoice. There is no pay link and no card on file.
For claims, Nem produces a CMS-1500 worksheet as a CSV for your biller to work from. It is not a rendered claim form, there is no clearinghouse submission and no real-time eligibility check, and Nem tells the user so rather than implying otherwise.
Reports
Twenty reports across financial, care billing, operations, staff, voice and assets. Every one exports to CSV, with protection against spreadsheet formula injection, and to PDF. You can save a report view and come back to it.
Reports are scoped to one clinic. An organization with several locations cannot currently roll them up into a group view.
Staff, roles and security
Employee records carry NPI with checksum validation, state licence, tax details and a provider flag, plus shifts and assignment to more than one clinic.
Permissions are built from a custom role builder across twelve modules, including templates built around giving each role only what it needs. A user with several roles gets the union of them, and anything not granted is denied rather than allowed.
On security: two-factor authentication using an authenticator app, with single-use backup codes, enforced centrally rather than page by page; password history and policy; session lock on inactivity; an audit log covering thirty-seven kinds of action; retention schedules with destruction certificates; and a runtime guard that checks queries stay inside the right clinic.
Two limits to know: the audit log shows the most recent hundred entries and cannot yet be exported, and audit immutability is currently a matter of convention rather than a database constraint.
Equipment and consumables
Equipment and consumables with lot numbers, expiry dates, quantity on hand and reorder levels; maintenance logs; straight line and declining balance depreciation; and scheduled alerts for low stock, upcoming expiry and due maintenance. There is no purchasing or vendor ordering.
Multiple locations
An organization contains clinics, staff hold membership in clinics, and users switch between the clinics they belong to. Data scoping between clinics is enforced when the query runs, not assumed. The gap is reporting, which is per clinic only.
Getting your data in and out
CSV import covers nine kinds of record, including patients, employees, procedures, assets and care plans. A demographics export from Tebra can be imported without editing it first. Tebra is currently the only incumbent system with a supported migration path.
On the way out, you can request a full export of your organization's data, which runs in chunks and arrives as a zip with a manifest and an expiry. Nem can also produce a C-CDA summary of care document covering problems, medications, allergies, care team and goals.
What Nem is not
Nem is a practice management system, not a certified electronic health record. It does not have a certified EHR capability, e-prescribing, a prescription monitoring query, electronic lab ordering or results, quality measure reporting, telehealth, structured clinical encounter notes, immunization records, referral management, or fax. There is no dental charting, periodontal charting or imaging.
None of that is inferred. Each one was searched for by name in the code before this list was written.
